How does the custom manufacturing process work?

If you are interested in custom promotional items with a unique design and print, we will help you with their realization. On this page, you will find information on how cooperation with us works and also information necessary for the realization of promotional items exactly according to your brief.

1. INQUIRY

Please send your inquiries PREFERABLY by email to sales@giftsservice.com. Alternatively, you can use the contact form on our website.

What to include in a correct price inquiry:
- what you are inquiring about (if it is a unique promotional item, you can attach an image of a similar item or graphic materials if you already have them)

• quantity
• delivery time
• material (paper, silicone, fabric, PVC, plush, metal...)
• type of print (print, embossing, embroidery, debossing...)
• number of print colors
• approximate dimensions of the promotional item
• if available, an image or approximate preview of the final product, which can also be an image of a similar product from the internet
• contact details – especially phone number*

* phone number is often important for clarifying inquiry details

2. CALCULATION

We usually process inquiries within 24 – 48 hours and get back to you with a calculation.

Orders without all the above-mentioned information necessary for an accurate calculation are given lower priority and processing may take several days. Therefore, please provide all necessary information.

3. GRAPHIC MATERIALS

Graphic materials, or layout, must be provided before the actual production of the promotional item begins. These are needed so that we can manufacture promotional items with or without print exactly according to your specifications. Please send graphic materials in vector format, preferably curve PDF or in AI, EPS, or CDR formats.

What correct graphic materials should contain so that your promotional items are manufactured accurately and correctly:

• graphic preview and defined trim - dimensions
• for printing:
  logo – placement, dimensions (or send the logo separately in curves)
  texts – placement, dimensions, font type (ARIAL, Times New Roman,...)
• all colors defined by Pantone® code
• material
• possibly other properties of the custom-manufactured product

What is a vector PDF format?
Vector PDF is a PDF in which graphic elements are stored as mathematical curves and shapes, not as a grid of pixels.

Why do we need graphics in vector PDF?

• 🔍 it can be scaled infinitely without loss of quality – remains sharp even on a billboard,
• 🖨️ it is suitable for printing,
• ✏️ it can be further edited in programs like Adobe Illustrator, Affinity Designer, or Inkscape,

How can I easily recognize a vector PDF?

The easiest way is to zoom in closely on the PDF content:

• 🔍 zoom to 400–800% and lines/text remain perfectly sharp → probably a vector.
• 🟦 When zooming, you see individual squares/pixels and the image blurs → it is a raster image.

Unless agreed otherwise, graphic services and preparation of graphic materials for production are not included in the price quotation.

Standardly, we do not provide graphic services.

In case you do not have graphic materials in the required format and are unable to provide them, it is always necessary to inform us about this fact in advance. We will see if we can help you. Potential graphic services range from 1,500 – 5,000 CZK / graphic depending on complexity. We provide these services only after a binding order for custom manufacturing has been placed.

If you need a template for your graphic designer, feel free to contact us. We usually provide templates after an order has been placed or to regular customers.

4. ORDER

If you agree with the calculated price and are interested in producing promotional items, please send us a binding order. Please send the order by email to sales@giftsservice.com. After order confirmation, customers will be asked to pay an advance invoice of 50% or 100% of the total order price. This advance payment is necessary to start production.

5. APPROVAL OF THE PRE-PRODUCTION PREVIEW

Based on the graphic materials you provide, production will prepare a pre-production preview. We will pass your graphic materials to the production department, which will evaluate them and send a pre-production preview for approval. At this stage, we will fine-tune any discrepancies together, and the pre-production preview can of course be adjusted. Production starts after the pre-production preview is approved. From this moment, the agreed delivery time begins to run.

6. CUSTOM MANUFACTURING

The actual custom production of promotional items takes approximately 12 - 25 days. It depends on production capacity, the complexity of the manufactured item, or the complexity of the manufacturing process. The production time may vary depending on the type of product being manufactured, as the manufacturing process for individual products varies in complexity or production technology does not allow a shorter production time. This production time is taken into account in the delivery period in advance.

7. DELIVERY OF THE ORDER

Completed custom-manufactured products are usually dispatched immediately after receipt from production. Shipping costs to you are generally part of the calculation. Prices include shipping, packaging material, and handling.
